What happens if you move, rename or lose access to your FreeCRiM workbook

An Excel file is just a file: someone will eventually rename it, move it into a tidier folder, or reorganise which SharePoint library it lives in. FreeCRiM is built around that being normal, because it identifies the workbook by an id Microsoft assigns the file, never by its name or path.

Renaming and moving within the same drive

Both are invisible to FreeCRiM. The file's identity - which drive it is in and its own item id - does not change when you rename it or drag it to another folder in the same OneDrive or SharePoint library, so FreeCRiM keeps reading and writing it exactly as before, with nothing to reconnect.

Moving to a different drive

This is the one move that matters. A file copied or moved into a different OneDrive account or a different SharePoint site gets a new identity there as far as Microsoft is concerned, so FreeCRiM's existing registration for the old location is marked missing, and the file becomes a fresh registration the next time a member opens it in its new home. The rows inside the file are exactly as you left them either way - moving a workbook to a new drive means reconnecting it, never losing what is in it.

If the file is deleted, or a connection stops working

Deleting the file marks FreeCRiM's registration as gone and leaves its cached copy of your data read-only rather than pretending nothing happened. A Microsoft 365 connection that merely expires asks you to reconnect the next time a write is needed, queuing rather than dropping anything in the meantime; one that is revoked by your organisation's admin hands writing duties to another team member with a working connection, if one exists.
